Answers to the questions care providers ask most often, from pricing and setup to data security and switching from another system.
Book a free demo and we will walk you through the platform and talk through what your setting needs. If it looks like a fit, we handle the configuration and most homes are live within 24 hours of sign-off. You can also email us at hello@ovcare.co.uk.
The demo is a personalised walkthrough rather than a sales pitch. We focus on the areas that matter most to your setting: daily records, inspection-ready forms, care planning, HR and workforce oversight, reporting, and multi-site visibility. We work to your diary, so some managers want a short overview while others prefer to go through their own workflows in detail. Either way, you will finish with a clear view of how the platform would work day to day, and there is no obligation afterwards.
OVcare is priced per home or setting as a flat monthly fee. There are no charges based on the number of young people you support or the number of beds in your home. Pricing reduces with contract length across our 1, 2 and 3-year terms, and reduces further as you add more homes. Visit our pricing page or contact us for a quote based on your portfolio.
Yes. Training is included and unlimited for as long as you use OVcare. That covers initial onboarding, training for new starters as your team changes, refreshers whenever you need them, and guidance on new features as the platform develops. There is no cap and no additional charge.
Most settings are configured and ready to use within 24 hours of sign-off. We handle the setup, configure the platform around your home's structure and workflows, and train your team before you go live, which keeps disruption to day-to-day care to a minimum.
No. Onboarding, configuration, data migration support and ongoing support are all included in your monthly fee. If anything falls outside that standard scope, we will discuss and agree it in writing before you commit to anything.
No. OVcare charges a flat fee per home. Your monthly cost stays the same whether your home supports one young person or ten. There are no per-bed or per-young-person charges.
Yes. Data migration support is part of onboarding. Our team will work with you to move key records across from your current system, so nothing important is lost and your staff are not starting from an empty platform.
This is one of the most common concerns we hear and it is a fair one. OVcare is designed around frontline recording rather than administration: entries are quick to complete, forms follow the structure teams already use, and information only needs entering once. Training is hands-on and unlimited, so less confident staff and new starters can be brought up to speed at any point, not only at go-live.
Yes, and OVcare is free until your Ofsted registration is confirmed. You get full access to every feature with no restrictions while you work through registration, and payments only begin once you are approved. By the time you are registered, your team already knows the system.
OVcare is Cyber Essentials Plus certified. Data is held on UK-based servers with encrypted storage and role-based access controls, and is handled in line with UK GDPR requirements. Protecting the records of the young people and families you support is a core part of how the platform is built.
All data is stored on UK-based servers and stays in the UK. The platform is built to handle large volumes of sensitive information securely, with role-based access so staff only see the records relevant to their role.
Your data belongs to you. If you decide to leave, we will export it in a usable format or support migration into your new system so you can take it with you.
Yes. OVcare is browser-based and works on any device with an internet connection, including Windows, Mac, tablet and mobile. There is nothing to install and no device restrictions.
OVcare is built for UK regulated care providers: children's homes, supported accommodation, family assessment centres and supported living services. It is designed around the operational and compliance requirements of Ofsted-regulated settings rather than adapted from a generic platform.
OVcare is built around the evidence inspectors ask to see. It includes more than 200 forms designed for Ofsted-regulated settings, compliance tracking with automated reminders and status views, and an Inspector Portal that gives inspectors secure access to your records on the day.
The aim is to help teams keep clear, consistent records day to day, so evidence is already in place rather than gathered in the fortnight before an inspection. No software can determine an inspection outcome, but stronger record keeping makes it easier to demonstrate what your team is actually doing.
Yes. OVcare is used by single-home providers and by multi-site groups. Managers responsible for more than one home get a single dashboard covering activity, compliance and reporting across every site, which makes it easier to keep documentation consistent between homes. Pricing reduces as you add homes, so speak to us for a quote based on your group size.
We handle most of the work. We configure OVcare around your homes, migrate key records from your existing system and train your team before you go live. Most providers are up and running within 24 hours of sign-off. Book a free walkthrough and we will look at your current setup with you, with no obligation.
