Book your free OVcare demo

Pick a time that suits you and we will walk you through the platform using examples that match your service. The demo is led by your questions, with no obligation and no follow-up sequence afterwards.

  • Built for Ofsted-regulated settings
  • UK-hosted data
  • Cyber Essentials Plus certified
  • Free until Ofsted registration is confirmed

What happens on the call

No slides and no generic product tour. We spend the time on the parts of the platform that matter to your service.

  • We ask about your setting first

How many homes you run, what you are using now, and where the admin time actually goes. It shapes everything we show you afterwards.

  • We show you the platform with your workflows in mind

Daily records, inspection-ready forms, care planning, HR and workforce oversight, reporting, and multi-site visibility if you need it. Real screens, not a video.

  • You get straight answers on cost, setup and switching

Pricing for your portfolio, what migration from your current system involves, and how long configuration takes. If something needs checking, we come back in writing.

  • You decide, in your own time

We send a short written summary of what we covered. There is no automated follow-up sequence and no pressure to commit on the call.

Nothing to prepare. You do not need to gather documents or tidy anything up beforehand. If there is a specific form, handover process or report you want to see, add it to the booking notes and we will have it ready.

Schedule your demo

Choose a time that suits you. We work around your diary, so tell us in the booking notes if you are short on time or want to go into detail.

What you will actually see

Four of the screens we walk through most often. Yours is configured around your own homes, forms and staffing structure, so the detail will differ.

Leadership dashboard
OVcare leadership dashboard showing daily tasks, a four-week event summary and a manager oversight panel listing pending approvals, ongoing incidents and documents requiring review

Example data. Your dashboard reflects your own homes and young people.

Oversight

The gaps, before an inspector finds them

Pending approvals, ongoing incidents, documents needing review and expiring certificates in a single panel. It supports Ofsted readiness by keeping evidence current day to day rather than assembling it the fortnight before a visit.

  • Every overdue item in one panel
  • Roll up across the group or drill into one home
  • Four weeks of activity without running a report
Incident form
OVcare incident form showing structured fields for the young person, incident number, title, date, times, location, target and linked young people

Example data. Forms are configured to your own recording standards.

Forms and daily recording

Records staff will actually complete properly

Incidents, daily logs and notes follow a consistent structure, so the same detail gets captured whoever is on shift. Entries are attributed and time-stamped as they are written.

  • Structured fields rather than free text
  • Links straight to the child's case record
  • Every entry attributed and dated automatically
OVinsights document search
OVcare document search answering the question what do I do if a child runs away from home, returning passages from the home's missing children policy with page and paragraph references

Search runs across your own uploaded policies and procedures.

OVinsights

Policy answers at 3am, without ringing the manager

Staff can ask a question in plain English and get the relevant passages from your own policies. It helps them find the right guidance quickly. It does not make the decision, and it does not replace professional judgement or your escalation procedure.

  • Ask in plain English, on shift
  • Answers cite the document, page and paragraph
  • Searches your policies, not the open internet
Rota
OVcare rota showing Monday to Friday night and day shifts at a children's home, with staff assigned to each shift alongside their qualification and training markers

Example data. Rotas reflect your own homes, shifts and staffing model.

Workforce

Who is on shift, and whether they are covered

Rotas, leave and timesheets in one place, with training and qualification markers visible against each person on the shift. Useful when an inspector asks how you evidence safe staffing, and useful on a Tuesday when someone calls in sick.

  • Training and qualification flags on every shift
  • Switch between homes without switching system
  • Planned rota and hours actually worked, together

What people say after using it

From the managers, responsible individuals and support workers who use OVcare every day.

As a dual registered manager I found the system to be a huge asset is ensuring all documentation was up to date with nothing missed. The Incident tracking really helps to make sure everything is where I need it to be for investigation and oversight. It is easy to follow and allows me to track both homes at the click of a button.
Dual registered managerTwo homes, previously on paper
I was pleasantly surprised by how easy it was to use over all other portals I have come across over the years. Information is easily accessible with progress constantly shown by the use of the graphs. When completing Regulation 44 visits the documents are detailed and clear providing all the needed information without having to search.

The system is really easy to use and I like the fact that I can record quickly and easily from the phone or computer meaning I can record on the go saving me time at the end of my shift and allowing me to spend more time with the kids

Come with the awkward questions

These are the ones worth asking on the call, and the ones we get asked most.

"Will our staff actually use it?"

Ask to see the recording screen a support worker uses on shift, not the manager dashboard. That is the screen that decides whether a rollout works.

"What does switching really involve?"

Ask what moves across from your current system, what does not, and what your team needs to learn. We would rather set that expectation now than after you sign.

"Where does our data live, and who can see it?"

Ask about UK hosting, role-based access, audit trails and what happens to your records if you ever leave. You should get specifics, not reassurance.

Before you book

Usually the registered manager, plus whoever handles compliance or HR if that sits with someone else. If you run more than one home, it is worth having the Responsible Individual or operations lead on the call too, because the multi-site questions tend to come from them. One person is fine if that is easier to arrange.

No. You do not need to gather documents, prepare questions or tidy anything up first. If there is a specific workflow you want to see, such as a particular form, a handover process or how a Regulation 44 report is produced, mention it in the booking notes and we will have it ready.

No. There is no obligation, and we do not put you into an automated follow-up sequence afterwards. If OVcare is not right for your service, we will say so on the call rather than afterwards.

Yes. OVcare is free until your Ofsted registration is confirmed, so providers often start during the registration process. That means your team already knows the system by the time you are approved, and payments only begin once registration is confirmed.

Yes, and it is worth asking. We will walk through what moves across, what your team would need to learn, and how long configuration takes for a service like yours, so you can judge the disruption realistically rather than from a sales claim.

We send a short written summary of what we covered, plus pricing for your portfolio if you want it. Anything we could not answer on the call comes back in writing. From there it is your decision and your timeline.
